Role overview

The successful candidate will join the team responsible for administering a bespoke suite of pension and personalised annuity arrangements for high-net-worth individuals. The Client Administration Team provide customer focused service to a broad range of clients with exacting requirements. The role is particularly diverse and will likely appeal to individuals that possess great attention to detail, are solutions focused and who relish a challenge. This role will work closely with the Client Relationship management team to help grow and develop the team and business. 

Day to day management of the team and of a portfolio of clients in respect of a wide variety of pension arrangements including those of a complex nature and involvement in the overall management of the department alongside the current Management team. This role will play an integral part in our customer service and good verbal and communication skills are essential, along with a strong ability to multi-task.

Job accountabilities

Day to day running of own portfolio of pension clients, this will include:-

  • Statutory work – ensuring that statutory records are kept up to date and are accurately maintained at all times and the relevant filings are made in a timely manner
  • Ensuring all pension administration is carried out in accordance with the scheme rules and the applicable legislation
  • Management of invoicing for the team and debtors
  • Working with the management team to ensure our policies and procedures are maintained and comply with scheme rules and legislation and proactively driving change where necessary
  • Entity reviews – carrying out an annual review of all entities within own portfolio
  • Liaison with our respective departments regarding accounting and taxation issues
  • Liaison with clients and intermediaries both by telephone and in writing
  • Oversight of outsourced administration
  • Oversight of the pension accounting and bookkeeping for team and own portfolio
  • Review of annual accounts
  • Management of the new business process for the team
  • Ensure the Admin team comply with compliance and risk policies
  • Support the Admin team with the provision of high quality and timely client service

Staff management will include:

  • Management of a team on a daily basis and providing advice and assistance on the resolution of queries, as required
  • Ensure that team members receive the necessary training in order to carry out their roles to the best of their ability
  • Control and delegation of the team’s day to day workload
  • Completion of annual and optional six monthly appraisals for team members

Minimum experience and education

  • Educated to ‘A’ Level standard and studying for a relevant professional qualification/or the attainment of a relevant professional qualification
  • A minimum of five years’ relevant experience
  • Attainment of a relevant professional qualification
  • Knowledge of administration of pension schemes

Special skills required

  • Experience of supervising/managing team members/processes
  • Strong and effective negotiation skills
  • Good critical analysis and problem-solving skills
  • Ability to work to deadlines independently
  • Effective business writing skills
  • Strong accountancy knowledge
  • Good knowledge of Pension Schemes
